Key points
- In Groningen you will find roughly three types of AI providers: strategy advisors, automation specialists, and implementation partners that build and maintain. Most disappointments arise because a company hires the wrong type.
- Choose based on your question: do you want a vision on paper, an existing process automated, or an AI application that runs in your daily work?
- Ask every agency the same eight questions. References to systems running somewhere say more than a portfolio, and an agency that dares to question your way of working is worth more than one that says yes to everything.
- Working locally helps with the analysis and with getting your team on board; for pure build work, distance matters little.
- Start small: first an analysis of one process, then build. Maintenance is a recurring item, not a footnote.
The Groningen AI market has matured over the past few years: there are advisory firms, automation specialists, and providers that build complete AI applications. At the same time, all the money and attention around AI also attracts cowboys: providers who were selling something else yesterday and today have "AI specialist" on their door. So choosing carefully pays off, and the websites help you little there, because they look alike while the companies deliver very different work. Below you can read which types of providers there are, which questions you ask before you sign, roughly what an AI project costs, and when we are and are not the right partner.

Three types of AI providers in Groningen
Strategy advisors help you determine what AI can mean for your organization: vision, policy, roadmap. That is valuable when your board or management team needs direction, for example because there is a digitalization agenda. The end product is an advice; the building still has to start afterward, often by another party.
Automation specialists are usually software companies that offer AI as an additional service alongside their existing work: robotic process automation, business intelligence, system integrations. They are strong in data flows and automating away repetitive tasks, and AI is an extra tool in the box. A good fit if your question is essentially an automation question.
Implementation partners are built around AI; it is their trade rather than their by-product. They build AI applications that run in your daily work: an assistant that makes your knowledge base searchable, a system that assesses incoming requests, a workflow in which AI does the groundwork and an employee keeps the final say. These parties handle the analysis, the build, and the maintenance, and are the right choice when you are looking for a working result in your processes.
The types are not mutually exclusive; some agencies combine roles. But always ask which work the agency does most itself, because that is where the real experience lies. Those who mostly advise rarely build sharply. Those who mostly build rarely write a strategy that is supported across your whole organization.
And if you are still right at the start, a step precedes all three: bringing knowledge in house. Anyone who has worked little with AI themselves will struggle to assess an agency. A training program or workshops bring your team to the level where you are a good client, and the free AI scan shows in a few minutes which phase of AI maturity your organization is in.
Eight questions to ask every AI agency
Putting the same list to every party makes the answers comparable:
- Which of your systems are currently running at other organizations, and may I speak to someone about them? A demo is not proof; a client who is still satisfied after a year is.
- Who maintains the system after delivery, and what does that cost per month? AI systems need maintenance and adjustment. Without maintenance arrangements, you are on your own after delivery.
- Where is our data stored and who can access it? Ask further about which models and suppliers sit under the hood and what happens to your data.
- How do you ensure we comply with the EU AI Act? From August 2026, most obligations also apply to companies that only use AI. Human oversight and logging belong in the design, not in an appendix.
- How small can we start? A good party proposes a well-defined first step itself. Be wary of a quote for a large project without a preceding analysis.
- Who owns what is built? Record who owns the code, prompts, and configuration, and what happens if you part ways.
- Who on our side needs to make time available, and how much? Every serious AI project requires knowledge from your organization. An agency that says you will not have to worry about anything will know your processes worse than necessary.
- Do you question our way of working? This is perhaps the best indicator. A good agency asks not only what you want to automate, but also why the process runs the way it does now and whether AI could do it differently. A party that blindly builds what you ask automates your old problems along with it.
Why local matters (and when it does not)
For the analysis phase and for adoption, proximity is a real advantage. You get to know the processes you want to improve fastest at the table, on the work floor, with the people who do the work. And when your team has to get used to a new way of working, it helps if the builder simply drops by now and then instead of being a ticketing system. A Groningen party also knows the northern network and the regional subsidy routes, from the SNN to the knowledge institutions (see also our overview AI in Groningen: what is happening and where you start as a business).
To be fair as well: for the pure build work, distance matters little. Software is written the same way all over the world. But there is a condition attached that is often skipped: building remotely only works if you know exactly what you want, down to the level of a fully worked-out brief. Most entrepreneurs do not (yet) know that, and that is no shortcoming; getting the question sharp is the first real work of an AI project. The less worked-out your question, the more you gain from a party that first comes to sit at your table.
What an AI project costs
Amounts without context say little; the cost logic does. A healthy AI trajectory is built up in steps that each have their own decision point:
- The analysis is a well-defined first step: examining one process and a concrete advice with a realistic estimate. That way you know what building will cost and deliver before you take on that commitment.
- The build follows in well-defined steps, each with its own result. This lets you adjust or stop after each step.
- The maintenance is a recurring item: models change, processes change, and the system has to move along. Count on it from day one.
The price of the whole should be in proportion to what the process currently costs you. A process where hours leak away every day justifies a different investment than a small convenience. A good party makes that calculation together with you, before the quote.
When we are and are not the right partner
We are an implementation partner: we analyze, build, and maintain AI applications that run in your processes, from our office on the Zernike Campus. Examples are on our page about AI in Groningen: what is happening and where you start as a business.
Where we are not the right party: fundamental data science research, hardware, or an organization-wide strategy without the intention to build. For those kinds of questions, we know the northern network well enough to refer you.
How we can help
Not sure where to start? Take the free AI scan: in a few minutes you see which phase of AI maturity your organization is in, where the biggest opportunity lies, and which next step fits. It lets you start every conversation, with us or with another agency, a good deal sharper.
Feel free to get in touch for a no-obligation conversation. We first discuss what fits your question; only then does something go on paper. Within one conversation you will hear whether we are the right type of party, and if not, we know the northern network well enough to refer you.
Frequently asked questions
Which AI companies are located in Groningen?
The region has strategy advisors, automation specialists, and implementation partners, alongside start-ups around the AI Factory in niche markets such as chips and health technology. Which type fits depends on your question; the breakdown above helps with sorting.
What does an AI project cost for an SME organization?
That depends on the process you tackle. Start with an analysis of one process; it gives a substantiated estimate of costs and returns before you take on a build commitment. Also count on a recurring maintenance item.
Does my AI agency need to be nearby?
Not necessarily. Proximity mainly helps with the analysis, adoption by your team, and the phase after delivery. The build work itself can happen anywhere. So weigh proximity, but let implementation experience count more heavily than the postal code.
How do I check whether an AI agency delivers good work?
Ask about systems that have been running at clients for more than a year and speak to those clients yourself. Also ask how maintenance and adjustment are arranged and who owns what is built. The eight questions above are a complete checklist for that.
